Online Coaching Price Calculator: How Much Should You Charge per Client?
Short answer
To price online coaching, add your target monthly take-home income to your monthly business costs, then divide by the number of clients you can handle. Client capacity is your weekly coaching hours divided by hours per client, rounded down. For example, $5,000 income plus $300 costs across 20 clients is $265 per client per month.

How is the online coaching price calculated?
The price per client is your income target plus your costs, divided by the number of clients that fit in your coaching hours.
- Client capacity = weekly coaching hours ÷ hours per client per week, rounded down. You can’t coach two thirds of a client.
- Price per client per month = (monthly income target + monthly costs) ÷ client capacity.
- Effective hourly rate = monthly price ÷ (hours per client per week × 4.33). 4.33 is the average number of weeks in a month (52 ÷ 12).
Example: a $5,000 target, $300 in costs, 20 coaching hours a week and one hour per client. That is 20 clients at $265 a month each, or about $61 per hour of coaching.
What does the effective hourly rate tell you?
It shows what each hour of online coaching actually pays, so you can compare it with what you charge for an in-person session.
If it comes out well below your gym rate, either the price is too low or each client is taking too much of your time. Both are fixable, but you need to know which one it is.
Keep in mind that the price assumes every spot is filled. With half the clients, revenue halves but costs stay the same, so your take-home drops by more than half. While you are building up, either charge more or plan for a lower income in the first months.
How do online coaches use this number?
Most coaches use it to set a floor price, then to decide whether to raise prices or cut the time each client takes.
- Set a floor. The result is the lowest monthly price that hits your target at full capacity. Charging below it means working more hours or earning less.
- Find the time sink. Hours per client has the biggest effect. In the example above, going from one hour to 45 minutes per client raises capacity from 20 to 26 clients and lowers the required price from $265 to about $204.
- Recheck every few months. Costs change, and so does how long clients take once they settle into a routine. Run the online coaching price calculator again with fresh numbers.
The Coach+ coaching platform is built to cut that time per client. You build meal plans with macro targets, an AI assistant drafts training programs and meal plans for you to review, and clients log workouts and food (barcode, photo or search) in your own branded app. Weekly check-ins with progress photos arrive in one place instead of scattered across chats. There is a 30-day free trial, no credit card needed.
Frequently asked questions
How much should I charge for online coaching?
Charge at least (monthly income target + monthly costs) ÷ the number of clients you can handle. With a $5,000 target, $300 in costs and room for 20 clients, that is $265 per client per month.
How many online clients can one coach handle?
Divide your weekly coaching hours by the hours each client takes per week and round down. 20 hours at one hour per client is 20 clients; at 30 minutes per client it is 40.
What costs should I include when pricing online coaching?
Everything you pay monthly to run the business: coaching software, payment fees, insurance, marketing, accounting and equipment. If your income target is after tax, add your expected tax as a cost too.
Should online coaching be priced monthly or per session?
Online coaching is usually sold as a monthly package, because the work is ongoing rather than a set number of sessions. That is why this calculator gives a monthly price per client.
Can I charge more than the calculator suggests?
Yes. The result is a minimum that assumes every spot is filled. Charging more leaves room for empty spots, slower months and higher-touch packages.
