Personal Trainer Income Calculator: How Much Can an Online Coach Make?

Short answer

A personal trainer’s monthly revenue is active clients times the monthly price, and profit is revenue minus business costs. Client lifetime value is the monthly price divided by monthly churn. For example, 25 clients at $200 bring in $5,000 a month, and at 10% monthly churn each client is worth $2,000.

This personal trainer income calculator shows what your coaching business earns today and where it is heading. Enter your active clients, price, monthly churn, new clients per month and costs, and you get revenue, profit, client lifetime value and the client count your business levels off at.

Those last two numbers are the ones most coaches never calculate, and they usually say more about next year’s income than this month’s revenue does.

How to use the personal trainer income calculator

  1. 1

    Active clients

Everyone currently paying you for coaching.

  2. 2

    Monthly price per client

What one client pays per month, in dollars. If prices differ, use the average: total monthly revenue ÷ number of clients.

  3. 3

    Monthly churn

The percentage of clients who leave in a typical month. If 2 of 20 clients leave, churn is 10%. An average over several months is more reliable than one month.

  4. 4

    New clients per month

How many new clients sign up in a typical month.

  5. 5

    Monthly costs

Coaching software, payment fees, insurance, marketing and any other business expenses.

How is personal trainer income calculated?

Monthly revenue is active clients × monthly price, and monthly profit is that revenue minus your costs. The other results come from churn.

  • Monthly revenue = active clients × monthly price per client.
  • Annual revenue = monthly revenue × 12.
  • Monthly profit = monthly revenue − monthly costs, before tax.
  • Average client lifetime (months) = 1 ÷ monthly churn. At 10% churn (0.10), clients stay 10 months on average.
  • Client lifetime value = monthly price ÷ monthly churn. $200 at 10% churn is $2,000.
  • Long-run client count = new clients per month ÷ monthly churn. 3 new clients a month at 10% churn levels off at 30 clients.

Example: 25 clients at $200 with $400 in monthly costs is $5,000 in monthly revenue, $60,000 a year and $4,600 in monthly profit.

The calculator assumes price and churn stay constant. Real numbers move, so treat the results as a projection, not a promise.

Why does churn matter more than new clients?

Because churn sets the ceiling. Your client count stops growing when the clients who leave each month equal the clients who join, and that happens at new clients ÷ churn.

With 3 new clients a month and 10% churn, you level off at 30 clients. Cut churn to 5% and the same 3 sign-ups a month level off at 60 clients, while each client is worth $4,000 instead of $2,000. Reaching 60 clients through sales alone would mean doubling sign-ups to 6 a month.

A client who stays longer also needs no new onboarding and has more time to refer friends. That is why lowering churn is often cheaper than finding more leads.

How much do online coaches make?

It depends on four numbers: how many clients you have, what they pay, how long they stay and what the business costs to run. There is no single figure that fits every coach, which is why a personal trainer income calculator with your own numbers tells you more than a headline average.

Read the results in order. Monthly revenue tells you about this month. Lifetime value tells you what each new client is worth. The long-run client count tells you where your income is heading if nothing changes. If that count is lower than the clients you have today, your income is about to fall.

How coaches keep clients longer

  • Make the coaching visible every day. Clients who open your app to train and log food feel coached between check-ins, not only on check-in day.
  • Reply to every check-in. A weekly check-in with progress photos and a specific reply shows clients what they are paying for.
  • Give them people to train with. A community feed where clients see each other’s finished workouts turns leaving into leaving a group, not just an app.
  • Watch the quiet ones. Missed logs and skipped check-ins usually come before a cancellation. Message early.

The Coach+ coaching platform is built around these habits. Clients train, log food and check in from your own branded app, finished workouts are posted to a community feed, and you see all of it from one coach dashboard. There is a 30-day free trial, no credit card needed.

Frequently asked questions

How do you calculate client lifetime value for a coaching business?

Divide the monthly price by monthly churn. A client paying $200 a month at 10% monthly churn is worth $2,000 over their time with you.

What is churn in a coaching business?

Churn is the share of your active clients who stop paying in a given month. If you start the month with 30 clients and 3 leave, churn is 10%.

How many clients do I need to reach my income goal?

(Income goal + monthly costs) ÷ monthly price per client. To keep $6,000 a month with $400 in costs at $200 per client, you need 32 clients.

Why has my client count stopped growing?

You have probably reached new clients per month ÷ churn, the point where clients leaving equals clients joining. To grow past it, lower churn or bring in more new clients each month.

Is revenue the same as income for a personal trainer?

No. Revenue is what clients pay; profit is revenue minus business costs, and your take-home is profit after tax.
